This role provides you with the next step in your career, at the same time exposing you to all facets of our business. You will work closely with Senior Management and the Receptionist to ensure the smooth running of the office. Your areas of focus are administration, office operations, HR, and general team support.
Responsibilities - Maintain the office filing system and ensure accuracy and organisation in all filing
- Scanning, filing and distribution of all client and supplier contracts
- Oversee and manage inventories for stationery, groceries and other office supplies
- Manage the provision and service of refreshments for all meetings and events
- Answer the telephone in a professional manner, screening calls before passing through to staff, and taking accurate and detailed messages
- Book travel, accommodation and other relevant aspects for staff work trips
- Manage the Intern Program for all our local and international interns
- Manage the HR administrative process including all filing, contracts and staff inductions
- Manage the recruitment processes and work closely with line managers, coordinate all interviews and related paperwork, and ensure accurate and timely responses to candidates
- Minute taking at meetings where necessary
- Monitor, review and enhance administrative processes
Skill & Qualities - At least 3 year’s administrative and office management experience
- Proficient user of Microsoft Word, Excel and Outlook
- Minimum typing speed 50 wpm
- Organised and methodical in work approach
- A proactive attitude and an ability to work autonomously
- Able to handle and process confidential matters discretely and with sensitivity
- Excellent communication skills, both verbal and written
- Demonstrate professional approach and promote the same in others
- Display personal commitment to quality and acute attention to detail
- Possess a strong desire to develop skills and tackle new tasks and challenges with enthusiasm
